Role synopsis

 To manage all services other than specified Departments in daily operation for the Office. To support the relevant project and operational processes to run the plant in a safe and efficient manner.

Key accountabilities

 Develop and deliver company administration policies, procedures to be in line with the business objectives, and provide guidelines and policy direction to company staff.
 Provide expertise and specialist knowledge of best practice in corporate services and ensure the services provided is of a consistently high standard
 Provide the professional service & solutions on office administration, travel management and transportation arrangement, visa application
 Make office purchasing plan and track office consumptions actual using status and arrange office purchasing accordingly
 Ensure all office equipment (copy machine, air-conditioner, fax machine, PC projector, refrigerator, etc.) are in good condition
 Keep an clean , orderly and safe office environment, make sure Plant garden well maintained.
 Manage receptionist, cleaner and driver, ensure their performance meet requirement.
 Prepare admin budget and control the cost.
 Well manage Cars Pool and Drivers team to work under the direction of BP HSE
 Regularly organize the HSE meeting for the drivers team to improve HSE awareness
 Manage office administrative service providers, guide and ensure their activities complied with BP HSSE standard and local government regulation
 Build and maintain good relationships with relevant government authorities, communities.
 Company important documents filling and management
 Provide assistant to office project to acquire necessary Government's permit/license
 Regularly update company business operation license/certificate to ensure plant operation in line with Govern's requirement.
 Lead Plant recreation club, plan the budget and organize staff activities properly.
 Handle other corporate affairs: basic public affairs, office/social events, VIP visit
 Improve Premise management and BP brand image
 Network with Lubes other section to support marketing promotion or business related project.
 To organize relevant outing and recreation activity for office staff
 Support HR to organize the associate activity if needed.

Essential Education

 University graduate

Essential experience and job requirements

 3 years of related experience; previous experiences as office administration in multinational companies will be a plus

 Good planning and organizing skills
 Effective communication/excellent leadership skill
 Interpersonal skills & ability to influence, motivate & develop others
 Proficiency in oral and written English
 Good computer skills including Microsoft Word, Excel and Power Point
